Admins Tips for Excel Training
Training administrative staff can be difficult when you have older students who have
not been in the classroom in a while, and who may be set in their ways. It can be even more difficult if you have a wide spread of ages, and you will need to keep on adjusting your styles. You will need to find ways to keep everyone entertained and learning. Here are a few tips that you can follow as you train admins in using Excel.
Don't play favorites. Don't talk to the motivated students only, but at the same time, don't give anyone special attention. First of all, people might not want the attention and will feel embarrassed. Second, you want everyone to see you as a fair trainer, and this can affect how effectively people learn.
Have a ready study plan. Be prepared with how you will teach Excel so that you stay on track. You might want to start with basic file saving, what file formats represent, what you can use Excel for, and the basic functions of Excel. You can then move on to actually working on files, and then making your own files. There are different ways of teaching Excel, so you need to be consistent and tick to them.
Keep it slow and speed up only when people are catching up. You will want to cater to the slowest of the group, but be careful not to alienate the faster learners. You might also want to provide times at which people can consult with you so that you can teach a little faster in class.
Talk about older versions of Excel. How are the new versions better? What is the difference if you save in an older format? You will need to help your admins adapt to all kinds of software versions so that they don't get stuck when they encounter another Excel interface in another computer.
Provide examples and exercises. Training is going to be boring if it's all theory and no practice. Provide real life situations if you can, or real spreadsheets so that your students can try out their lesson. If possible, look for data from the company that the students are working for.
Show how not to use Excel. What happens when things go wrong? Warn students how Excel can get messed up, and provide troubleshooting tips. This way, they don't get flustered when they encounter problems
Lastly, point your admins to web resources that they can use to get the most out of Excel. This way, even when you are not present, they are still learning.
