Our company, Udyog offers an integrated Solution called iTAX which extends indirect taxation features to global and local ERPs.in the areas of Central Excise Tax for manufacturers & traders, Service Tax, TDS/ eTDS, VAT, CST, EOU, SEZ, Payroll, Financial Accounting, Inventory Management.
The consultants implement multiple projects at a time and the challengehas always beento streamline the implementation process and manage customer expectations effectively. The challenge also was the communication gap that existed between the customer expectations andour project team with regards to the progress of the projects.
In order to reduce the gap between customer and project team understanding, an effective Sign-off process was iniiated. In addition to the project signoff which was earlier in place, we introduced a process of phase wise sign off. The sign-offs now included Requirement Signoff, Installation Signoff, Integration Testing Signoff and Project Signoff.
Once an order is received from a client, after doing a financial verification, the Work Order is raised on the delivery team. The first stage of the process is Project Initiation, where in the Project Kick-off is done, and the functional consultants threafter plan to visit the customer location to have a thorough understanding of the processes and to document the Software Requirment Specifications ( SRS). The Functional Document, SRS is to be reviewed by the customer and Udyog updates the same based on customer feedback. Once, customer finds it allright, the customer signs off the document.
On receipt of SRS Sign-off, the Implementation process can start. The first step is Installation of the Software. Once, the Installation is completed, the customer signs-off an Installation Sign off Document.
Thereafter, the Implementation activities like customization / development, mapping, etc are done, and the iTAX is integrated with some test data obtained from ERP. This enables to obtain Integration Testing Sign-off from Customer. On porting the software to production environment and User Accepatance Testing and going live, customer signs off the project when it is sure that all the required project parameters or test cases are validated.
Therefore, at end of each stage, the required signoffis being obtained nowin orderto effectively close the phase. This has enabled to close the projects quicker. For similar projects which earlier took close to 9 to 12 months, the cycle time rhas been reduced by approximately half, thereby increasing the project turnaround.
This article envisages the need for a consistent process of signoffs to achieve the project objectives.
