companies, tour guides, special-event companies, and audio-visual (AV) companies).
Locate printers and provide mailers.
Plan food and beverage functions.
Interact with speakers and VIPs.
There are times when it is possible to avoid hosting a large meeting, cutting costs and time, not to mention making it easier for everyone involved. If you find that you do not wish to have a large meeting, or if it is not practical, then you have certain choices.
Alternative meeting options
Teleconferencing allows information to be sent from a major meeting site to one or more downlink sites. The transmitting site can be corporate headquarters, a hotel, a conference centre, or another facility with satellite or fibre-optic equipment. Videoconferencing is a cost-effective way to disseminate current information from one destination to key players in different locations via one- or two-way video transmittal.
For group communications, one-way audio conferencing transmits voice only from one site to one or more other sites. Two-way audio conferencing requires advance planning and a moderator. Some hotel chains now offer tele-suites for rent on an hourly basis. Several executives in one location can connect to another tele-suite in a distant city for a simulated roundtable meeting.
These are suitable for a business meeting but sometimes you just need to have the face to face connection with other people and this when you need to decide on hiring a large meeting room or even other large venues such as marquees and the like. You just need to make sure that the place you select is suitable for the type of meeting or get together which is planned, and that all the required facilities are provided adequately.
