Common Communication Issues in the Workplace
Clear and effective communication in the workplace can be the difference between an efficient work force and one that finds itself focused more on overcoming problems than providing products or services. Poor communication makes companies unprofitable, which is why it is so important to avoid some of the most common mistakes and remain transparent with your company and your customers.
Too Many Steps
As companies grow and become more bureaucratic, its not uncommon for communications channels to become more convoluted and complex. These extra steps to get a message from one person to the next can lead to many different problems. Meaning may not be translated properly, or the message simply wont make it to the right person. This works in both ways, too. Information relay from employees to execs and vice versa has to be smooth and efficient with as few steps as possible.
Too Much information
Too many emails, too many phone calls, and messages filled with far too many works can swamp managers, executives, and employees. Control the amount of information that needs to be sent at one time and make sure everything is properly accepted and assimilated in appropriate portions before sending more.
Unreasonable Expectations
Serious problems may occur in the workplace when expectations get out of control. A manager may expect employees to handle certain tasks, or a team member may have delegated certain responsibilities, but if this information isnt properly communicated, there is no way they can do the things you expect. Any accusations over unfulfilled tasks after this will only lead to even more problems.
No One Listens
Listening is an important skill in the workplace. Unfortunately, too often people are so intent on the things they want to say that they completely fail to hear what someone else is trying to communicate. The most important things you can do is learn to listen.
No Common Ground
Everyone has different backgrounds, interests, and goals, and without any common ground it can be very difficult to communicate openly and work together. It may be difficult to find the commonalities that will mean something to the people in the workplace, but it will help create an environment where people feel more comfortable working together.
Dealing with workplace communication problems isnt always going to be easy, but it must be a priority within any company. Misunderstandings and failure to relay messages to all the necessary people can hinder output, cause personal problems, and lead to distrust of the company and management. Take care of problems as early as possible to create an open and transparent communication infrastructure.
