1.Open MS Outlook program by clicking its icon or from the file menu within the Start menu.
2.Click File from standard toolbar.
3.Press Data File Management from drop-down menu.
4.Highlight Personal Folder by clicking over it twice.
5.Look for Settings and click on that button.
6.Select the Compact Now button from General tab box.
7.Compact the personal folder PST file by clicking "OK" and close the box.
Compacting or compressing PST file Outlook 2002 and earlier versions
1.Open Outlook and click View from the standard toolbar.
2.Click on Folder List from the dropdown menu.
3.Push the right mouse button over a personal folder.
4.Choose Properties For Personal Folders with the mouse for a file you want to compact.
5.Use the mouse to open the Advanced button on the General tab.
6.Select Compact Now.
7.Press the OK button.
You have other convenient and secure approach to compress PST files. You can use third party application PST Compress and Compact that compresses Outlook PST files by removing extra space or unused space from PST file.
