So, you must empty the 'Deleted Items' folder first and then compact the file later. This will reduce PST file size.

Compact Outlook PST File: Outlook actually compacts the PST in the background; however, for forcing the compaction, you can proceed in the below mentioned stepwise way for Outlook data file compact process:

o First, click File'

o Then, click Data File Management'

o Select the target data file

o Click 'Settings'

o Click 'Compact Now'

Archive PST File Items: You can archive old and not urgently required email items to the archive folder, where the data is stored for future reference, in the below mentioned process:

o Then, click 'Data File Management'

o Now, click 'Add'

o After that, click 'Office Outlook Personal Folders File (.pst)' for creating a new personal folder
