Ensuring That Meeting Actions Are Done

Communications are an essential part of working together

. Meetings are commonly used for collaborative communications where things need to be agreed or decided.

People can meet together at the same location or use technology from different locations. Meetings can be formal (with an agenda) or informal (usually to solve problems).

Most meetings generate actions that need to be done by one or more of the participants. Sometimes a participant needs to assign an action to someone who was not at the meeting.

Often the methods used to record, track, follow up actions until they are completed, and to keep relevant people informed, are ad hoc and inconsistent. Sometimes actions are lost or forgotten, so assuming that an agreed action has been done is a risky practice. Consequently most actions require more meetings to track progress and confirm completion.

This undisciplined approach to managing actions from meetings usually has some of the following consequences:

Actions are easily lost or forgotten

Workflows are interrupted waiting for actions to be done

Time is wasted in future meetings and communications finding out if the action has been done or is progressing

People can assume that the action is being done by someone else

Interpersonal relationships suffer because people are often relying on the agreed action to be done as promised

Accountability is unclear, so people do other actions they feel are more important

TASKey has developed and validated simple web and mobile browser software (called Me2Team) that makes the management of actions easier and significantly more effective. The software is used to record agreed actions that automatically populate relevant peoples To Do lists. When an action is ticked as complete, meeting records are updated and relevant people are notified.

Most actions agreed to in a meeting contribute to tasks being done. Consequently the action needs to be recorded in two places: in the list of agreed actions at the meeting and in the task the action contributes to. Consequently TASKey developed the ability to put the action in the task that it contributes to and to leave a shortcut in the meeting task to maintain a comprehensive record of meeting actions.

Now there is no need to waste a lot of time and effort and to experience unnecessary frustration and stress. Me2Team web and mobile software makes it easy to record, track, and follow through until meeting actions are done.
