. Data conversion is something where so-called functional consultant specializing in user training and functionality might have issues especially the lack of programming and data cleansing experience. We would like to share with you our experience and organize this article in FAQ style:
Q. We are trying to export data from Great Plains DOS which is something very old and it is running on old hardware. It looks like we cannot connect to the database. Do you have experience exporting from DOS GP?
A. Yes we do. You need DDF files and this is Btrieve database even if files have .DAT extension. Take a look at GPS folder where you should see another directory with the name either GPDATA or company ID. If you see File, Index and Field.ddf files then you are probably lucky and can use them. If not then read ODBC manual which is available in PDF format on installation CD. When you got DDFs then we recommend you connection in Pervasive SQL Control Center. If you are still on old Btrieve then you can connect in MS Access. We do not think that this project could be done by somebody who doesnt have SQL and programming experience
Q. It looks like have GP 7.5 and database is Pervasive SQL 2000 as popup always says when user logins. On the server in Dynamics directory we see company directory. But by series we see .BTR files with strange names. It is difficult to recognize which one is which. Can you help?
A. Yes. Please review table names in client application Tools -> Resource Description -> Tables
Q. We exported data and need now cleansing. Is it doable in Excel or we need something more powerful? It looks like Excel cannot open exported CSV files for historical sales orders. We are waiting hours and nothing happens
A. The reason might be in high volume of historical order. It might be over million. We usually in this situation import CSV file into MS SQL Server. Cleansing could be done in the form of SQL View
Q. We are on GPA DOS 9.5 and we appreciated answering the question above. However we only need GL accounts and customers. ODBC connection might be too complex as we need simple export
A. In this situation try printing reports in Great Plains into text file. Then open it in Excel and weed out such rows as report header, page number, space line by sorting
Q. For import to Business One do you recommend something else than Data Transfer Workbench?
A. For initial data migration DTW should do the job. If you need ongoing integration then you may try something else. It might be a bit time consuming to fill out CSV templates in Excel but it is what every consultant can help you with
