Google Makes E-discovery Easier For Apps Suite

. Now that business is mostly done electronically, the use of cloud based applications such as Google Apps is becoming a lot more popular among corporate clients. While cloud based services can be very convenient and allow a lot of flexibility for their users, they could be problematic in case a company becomes a party to a civil lawsuit and will need to turn over certain documents during the discovery phase of the trial. Very often, some of the documents required will include emails, as well as logs of chat sessions. However, not all cloud based apps have data retention functions which archives all communications done through them.
According to a report from IDG News Service published on March 28th 2012, Google has launched a new corporate governance and
Electronic Discovery service called Google Apps Vault, which aims to make documents a lot more easily accessible should it become needed. According to Jack Halprin, Head of eDiscovery at Google, the Apps Vault gives users the ability to easily manage data and find it based on certain criteria, such as keywords, date periods, senders, recipients and more.
Just like the Apps Suite itself, the Apps Vault is based on the cloud and therefore not installed locally on the client's IT infrastructure. According to Google, the service can be installed in a matter of minutes. This sets it apart from other systems, which may require extensive installation and testing to get them up and running. The Apps Vault will cost $5 for each user a month.
The way that the system works is quite simple. Rather than only making copies of data and storing it in a separate folder, the Apps Vault simply works by retaining all information from email as well as instant messaging sessions. Therefore, when an item is deleted by the user, it simply disappears from the users view, however the data remains intact on the Google Apps cloud server. That way, it would be a lot more difficult for a party in a lawsuit to claim that the integrity of the data has been breached or that it was modified in any way, as all the original content is still there.
Google hopes that by launching this service, it will make it more accessible to smaller businesses that would have had trouble affording a third party solution for their electronic discovery needs related to Google Apps.
