Great Plains Dos Connecting To The Database In Pervasive Control Center

Great Plains Accounting for DOS data conversion might look like puzzle

. Let"s come through the steps and answer popular questions at the end. First of all you should identify GPS folder on the server. If you have only one company then its directory is likely GPData. If you have more than one then the folder should be named as company abbreviation. Let"s talk a little bit about database platform. Files have DAT extension which might resemble Ctree. However it is Btrieve and this is why many GPA customers redeployed it on Pervasive SQL 2000. We saw examples where it was moved to Windows 2003 Server from Novel or WindowsNT. After this introduction let"s talk about connection and data export:

1.DDF Files are needed to establish ODBC connection. Creation procedure is described in ODBC manual which is available on original installation CD. However the procedure requires one of the floppy diskette and it is uncommon nowadays for computers to have floppy drive. We have collections of DDF files for 9.5 and 9.2 so at least it might be good news for you. When files are produced you should company them into company root directory on the server

2.Pervasive Control Center is in our opinion preferred data export and update tool. As soon as you got ODBC DSN created you can use your tool of choice which is ODBC compliant. For example you can use Microsoft Access or Excel. Why do we like Pervasive Control Center? The reason is simple "" it allows you to run sophisticated SQL Select, Update and Delete statements in aggregated manner. It means that you can export millions of records in a matter of several minutes. MS Access has also feature of aggregation and if this is your instrument then you should use Linked Tables functionality

3.When you got ODBC connection your puzzle might be not resolved yet especially if you need to extract historical Sales and Purchase orders. Why is that? The reason is in the data storage where one file hosts several Btrieve tables. The example could be ORDHST.DAT which hosts all historical tables including header, lines, addresses, taxes, etc. This is why if your goal is to export Sales history you should use "when" construction to filter out required table records

Let"s open questions and answers session at this point. If you was not available in the time of our seminar please feel free to email us your question:

Q. We are trying to redeploy Great Plains DOS on Windows 7 single user workstation. Installation doesn"t work and we are getting error message that this application is not compatible with your Windows version. What is wrong here?

A. Are you trying to redeploy it on Windows 7 64 bit release? If this is the case you need to know that both GPA and Pervasive SQL 2000 are only compatible with 32 bit version of Windows 7 (Vista or WindowsXP). If you order computer in store chances are high that they will send you 64 bit Windows OS. You will need to load i86 (32 bit) operating system

Q. We are happy so far with Great Plains Accounting 9.5. However we need new companies to be created in it. It is no longer supported directly by Microsoft Business Solutions. Can you help us?

A. Yes, what we need is to sign change VAR form by your manager. When you do change reseller we can see your records on Partner Source and create new company registration key

Q. We are planning to switch to SAP Business One and doing our initial homework in data conversion needs. What would be your recommendations?

A. You should consider connection via ODBC. When you have tables exported there are so-called CSV templates in SAP B1 Data Transfer Workbench (sometimes they are referred as Excel templates). You should reformat exported documents in the form of template and try test import. Be ready to several iterations

Q. We were able to export from our DOS accounting. Now we are trying to cleanse documents in Excel. In Sales history we have several million lines and Excel seems to be too "slow". What would you recommend?

A. We usually import huge table into SQL Server custom table via data import wizard. In SQL Server cleaning could be done in custom SQL View

Q. Is it possible to add new users to GPA? We do not have support plan with Microsoft

A. Probably not as this product line support is no longer available directly from Microsoft Business Solutions. What we can do for you is generate new company license key as well as support your version by looking up finalized knowledge base

With this question we would like to end our Q&A session but we are open to your comments via email
