There are a number of different uses that courier services have for reference numbers now, but the most important has to do with the courier software that has come into play over the last several decades. Before electronic record keeping, many shipments would be organized according the client's that sent them, but now, every single shipment is going to have an entry of some kind in the electronic database maintained by the courier company, and although there are in some instances ways of cross referencing and finding information about the orders without the reference number, this is not always possible, and is always much more complicated and time consuming than simply using the reference number.
The reference number's primary use is by clients of courier companies to get a status update on their shipment. Even in the days when tracking technology and updates were much more inaccurate then they are today, people still liked to keep a close eye on their shipments and how they were progressing towards their destinations. Now, with the introduction of GPS tracking into the shipping industry, most people are even more closely watching their shipments. They can take their tracking number and usually simply plug it into the website of their courier company and get an update as to exactly where their package is at that point in time, including more generalized status updates such as if the package has been successfully delivered, or if it has been delayed in transit for some reason.
The reference number is also very important to have if there is ever any kind of need to refer back to the details of a shipment, for example if there is any kind of a dispute as to what has happened with a given shipment. The courier is then able to use your reference number to look up all of the applicable details of your package, such as the signature capture of the person received it and the invoice that was paid on the shipment. These details can help resolve disputes between you and your customers, or you and the courier in regards to the delivery that was made.
