Let us say that you have a printer connected to your computer which is not printing at all or else a different situation where you had an old printer and you are trying to install a new printer and cannot install the printer due to various problems. So before getting down into troubleshooting, let us understand a little bit about printers.
Be it an inkjet or a LaserJet, printer connectivity is either in USB mode or else in Network mode. Serial port connectivity is fairly uncommon today. A lot depends on the error message, either on the computer or on the printer display (generally on the computer) to understand whether the issue is with printer connectivity or not. For USB connections it is better not to use an old cable with tarnished end points. The connectivity problem might not be related to the physical ports only, rather it could be a driver clash which is not letting your printer to get detected properly. For network connectivity it is often the IP address not getting registered in the operating system registry and the memory of the printer itself. You might have noticed that if you print out a Network Configuration page then you get to see the network on which your printer is and you can get the same information from the printer icon in the Printers Folder for Vista. Quite evidently, the network locations obtained from both the places should match. Access the Web Server Page of the printer for further information of your network printer. There can also be a third type of connectivity where the printer connected to one computer is to be accessed through another computer which we know as a Shared connection. So you should be careful that there should not be a driver clash or an IP address clash for older printers present in you computer but however, there are situations where the user has multiple printers and all of them configured in a beautiful way so as to enjoy the proper functioning of all of them. The device manager is a good place to check and make necessary corrections but things can actually turn worse if you are not sure about what you are uninstalling and trying to install in the device manager and how are you performing driver updates.
There are also issues related to the services in the computer as listed in the "services" list which the printer uses for its proper functioning. One good example could be the spooler service as we all know. There are printers in the market which captures these services in such a way that even after uninstalling them for another brand, it would not work. The new printer fails to work only because the old printer driver has not released a specific service even after uninstallation of the previous printer driver was completed in a proper way. One such example could be Spooler Subsystem error 1068.
There could also be errors related to the installation itself. Have you come across something like "A Fatal Error occurred during installation." and then an error code like 1327 or 1933 or 1603 or error 1706 etc? Have you come across an error like "NO Detected" or "Error Communicating With Scanning Device" ? Have you come across a situation where you have a printer installed but whenever you start your computer, an installation screen comes up? One day, you pulled up the HP Solution center (if you are using a HP Printer) and you tried to scan something and suddenly you came across an error message like Imaging Device Not Found or HPSCNVW has stopped working. You are trying to scan a document and it is either garbled or you cannot set the scan settings in a proper way. While trying to install the printer you get a huge Red X on the USB cable (in the installation screen) during device detection. Or else multiple printer icons keep on appearing in the Printers folder and you are quite annoyed about it?
All these require expert technical interference but still, a bit of care can make you do away with these painful hassles. A few points to note:--
1) Before any installation, take care of the health of system files. Disk Cleanup, proper configuration of antivirus software, system file check and defragmentation. Updated Flash files.
2) Proper cables
3) Check network connectivity for the computer
4) Software version of the previous printer (for HP). You cannot install a higher version on top of a lower version. You can do a full install for the higher version and only do "Add a Device" for the lower version.
5) Presence of previous printer software.
6) When using the scanning software provided by the manufacturer make sure that the proper printer is selected and that is for multiple printers with HP.
One last point that I would like to mention here and that is about printer security. You can set printer access rights if you do not want everybody to use your printer.
