Multiple Files
One way you may be trying to simplify your record keeping is to have one file for each chemical you're receiving. Not only could this get you in trouble should you have a safety inspection, but it can confuse matters when trying to figure out which batch came from which manufacturer. To avoid conflicts, keep a file for each chemical based on where it comes from rather than what it is. For example, if you're receiving a dye from company XYZ and company ABC, you should have two files for the dye. You should record all order dates, arrival dates, prices, and any complications with the order. By having each company separate, you are able to determine all of the information by company rather than sifting through lots of information in one file.
Inventory and Client Lists
It's also important to have accurate inventory lists. These records should be updated frequently, so that should you have an unexpected safety inspection the inspectors will be able to match up what you say you have in your facility to what you actually do have in your facility. It's important that your records match up to what the inspectors find so that you're not cited for anything. Having accurate inventory lists also keep you from storing too much of one chemical based on your local safety laws and the storage of chemicals.
Keep client lists updated so that you know where your product goes after it's received from the manufacturer. Again, you should have a file for each client. Don't make a file for a certain product and then list all of the clients who receive that product. Having good records not only makes your company more efficient but allows you to work with your UK chemical manufacturers without complications.
