Keep Event Passes Organized Easily!
Large events can often be stressful and time consuming to organize
, and it is essential that as many steps are taken as possible to ensure that the event runs smoothly and safely. At a large event such as an exhibition, conference or similar corporate meeting it is generally appropriate that all delegates and guests wear a name tag for both networking and security purposes. While lists of guest names and professions will have been compiled in advance, and the name badges prepared, it is important to construct a simple system for distributing a large number of tags quickly and accurately. A great way to do this is to use lanyards to fix name badges onto, and these can be ordered easily, with a simple lanyard holder. It should be easy to find a table top lanyard holder with several arms for hanging lanyards in a row, to stop them from becoming tangled and disorganized. It would then be most efficient to keep name badges ordered separately, ready to be attached once the delegates have arrived and registered at the event.
A lanyard holder is a great way to keep items separate and orderly, and will allow a number or welcoming staff to distribute passes at one registration desk. Depending on the scale and size of the event, it may even be a good idea to set up a couple of reception desks with a lanyard holder and passes on each, for staff to welcome guests quickly and efficiently. A lanyard holder is particularly useful at events which will have different colored lanyards, perhaps in different lengths for a variety of guests or when there may be a variety of colors to represent staff, exhibitors, speakers and delegates. In this instance, keeping lanyards together can quickly get confusing and tangled so hanging them clearly in sections is the perfect way to keep them apart and within easy reach for quick distribution.
It is essential that all guests at any large event are clearly identified with a pass, as it will help delegates and managerial staff of the event to network more effectively. Name tags that display each guest's profession or position within a company are also a good idea, as they can act as conversation pieces and ice breakers. This is also a great way for guests to pinpoint who they wish to speak to during the event, and name tags can also help to jog the memory of those who are sometimes a little forgetful! From a safety and security point of view it is also essential to know who has attended the event, and name tags can be incredibly useful in the case of an emergency such as a fire or explosives evacuation. Identifying guests and keeping a clear and organized list of those present is essential to ensure that all guests are safely accounted for in this instance; when guests enter it is important to ask them to wear their passes at all times should such as event occur.
