If there was any single piece of advice I can give the fresh businessman or businesswoman just starting out, it would be to LEARN HOW TO ARCHIVE!. In the event anything goes wrong, only proper and correct documentation, can save you. How this done is an art form, almost a science.

In the electronic age, we tend to keep our precious files stored in a hard disc, or similar, but there is still the need to hard achieve the most important bits. When things go wrong, and you can be sure they will, files that are immediately available and cross-referenced can make the difference between helping things go right, or being buried.

Let's see how this is done. I call my system the FACT Method.


F = First, always create a file for each and every new topic or subject.

A = Always finish your day with the filing being put in its place

C = Cross-reference everything, if one subject is connected to the other.

T = Time date each item (be very accurate...time, location, day, date)

These four each habits can create a filing system second to none, and one that will give you access to the bits and pieces of information you will need on each area of work you create. If you work only electronically, do exactly the same thing as if you would in a hard-based system.

Why do this? there are really three very good reasons for it, and if you are starting out in business you should remember them all of your career.

1. To avoid any misunderstanding should something arise.

2. To keep your focus, you must know where you left off if anything is yet incomplete.

3. To be ready for any legal action, should it occur, you will need all the facts quickly and accurately.

All of the above happen, and all the time. Misunderstandings are commonplace. Start and stop activity is very normal for any continuing project, and legal action today is more the rule than the exception. To use a hackneyed expressed (taken from the Boy Scouts) Always Be Prepared. By maintaining an accurate archiving and filling system, you will be. Do it, you will thank me for this advice, on many an occasion.
