Managing Your Day Effectively -- A Time Management System
Have you ever felt that you have too many things to do, for too many people, in too short a time? Join the club! Time management is an immensely important skill in a busy worklife. If you don't work strategically it can be hard to stay on top of everything. So how do you stay on top of it all? Here is my time management system.
The first thing here is to WRITE DOWN ALL YOUR TASKS! Whether you use some sort of task management software, or just good old fashioned pen and paper. You need to write down all your tasks so they're not just floating around in your head. Otherwise it can be very hard to focus on one particular task, and you can easily become overwhelmed by it all. By writing all your tasks down, you can quickly see everything that you need to do, and you'll often realise that there is not as much to do as you thought.
Once you have written them all down, the next step is to PRIORITISE. You need to go through your list, and analyse the importance of each task, and how much time you have remaining before it's due. You may need to discuss this with your work colleagues, to help you work out what should be done first. Prioritising your tasks helps to ensure that you finish a task when it needs to be done.
A lot of people regularly leave the little things until last. How often do you have a minute spare, but still put off that phone call that's only going to take 30 seconds? Before you know it, it's getting close to the end of the day and you have to rush to get them done. When you finish a task, or are waiting on something to complete a task you are currently working on, MAKE THAT CALL. Do all the little things as soon as you can, so that they don't build up throughout the day/week. This is a very important part of time management!
A last little tip is to NEVER procrastinate. Stay focused, and keep reminding yourself what you need to do. It is very easy to get off task, especially when you have a complex or frustrating task to complete. Sometimes it may pay to just take a quick break, and make yourself a tea or coffee, then sit down and refocus. So remember . . . Write your tasks down, prioritise, get the little things out of the way when you get the chance, never procrastinate, and take a quick break when you are feeling overwhelmed. This is how I manage my time, and it works for me!
