You have to be careful while noting down the e-mail addresses as mostly nicknames, numbers or common phrases are used in such addresses and if noted down incorrectly, it may cause problem for you to recognize them at a later date.

You should, therefore, check every e-mail address properly for its accuracy before adding to your electronic address book. Electronic address is formed by using combination of letters and numbers, sign of @ and host/domain name in sequence. For example, xplorer@rediffmail.com could be an electronic address that will be read out as "Explorer at Rediffmail Dot Com".

These e-mail addresses can now be added to your electronic address book. It should be kept in mind that it is the last name of the person through which you can search in the electronic address book. You need to type e-mail addresses of your contact persons into the electronic version such as Microsoft Outlook. When there are two addresses of a person that you have to maintain in your electronic address book, you can list the more frequently used address as "primary" and the other can be listed as "secondary". You should use a pencil to write e-mail addresses to maintain hard copy version of your electronic address book, if any, as the addresses are changed frequently after marriage, change of job or on switching over to another network service provider.


The email addresses in your electronic address book should be organized in groups into appropriate lists A list of e-mail addresses of your entire family, best friends, book club, soccer team, coworkers or in-laws should be maintained to enable quick communication. Thus, electronic address book can save you a lot of time of tracking down each e-mail address. For example, if you have to send information of a child birth, photo, work updates or holiday planning, you can simply email the general list - "Best Friends", or "Family" rather than tracking each individuals e-mail.
