Offline Storage Files And Issues That Compel You To Convert Ost To Outlook

Offline folder (OST) files are stored on your computer and are available even when the local network is down

. The OST files of your MS Outlook account are by default located in your current Windows folder. Just like the personal folders (PST) files in your MS Outlook profile, OST files can be compacted to save space on your computer that makes them flexible for utilization.

There is still some difference between OST file and PST file and i.e. the OST file starts as a mirror image of your folders on the Exchange Server, and works in collaboration with Exchange Server at the time of synchronization. A set of PST files simply acts as a storage location on your hard disk or a server other than the Exchange Server.

While you work offline, you can add, delete and alter the contents in an OST file just the way you might work on a folder over the local server. For example you can alter or move items in your offline Inbox, send messages that are placed on your offline Outbox, access your offline public folders and allied data in it. In the meantime, the information on the server is still processing. You might continue receiving new message on your mailbox, while on the other hand other users can add, delete or change items in public folders. However, you wont be able to know about all these changes on the server until you get connected to the network.

Whenever you want to update the changes that you made in the OST file and its allied server folder so that they are identical, you need to synchronize the folders and continue working offline. In MS Outlook 2002, this is done with the Send/Receive Groups. Synchronization connects to the server with the help of Dial Up Networking, it copies the alterations done in each folder to the other folder and then disconnect. After synchronization is performed, any item that you deleted from either the OST file or the corresponding folder will get deleted permanently.

Synchronizing All Folders when you Quit Outlook Automatically

Mentioned below are the steps to automatically synchronize all folders when you quit MS Outlook:

1.On the Tools menu, click the Send/Receive Settings, and then click Define Send/Receive Groups.

2.In the Send/Receive Groups dialog box, click to select the Perform An Automatic Send/Receive When Exiting check box.

3.Click Close to exit.

All folders that are set to be available while you are offline get automatically synchronized. It is imperative to synchronize and download the Address book before you log off your Exchange Server once you travel. This is particularly important when you travel for the first time. This ensures that all your offline folders are updated before you leave. Use the following steps to download your address book:

1.On the Tools menu, select Send/Receive and then click Download Address Book.

2.Click to select the desired download options and then click OK.

However, sometimes the OST file is not synchronized due to some corruption or damage caused to the OST file. The best way to deal with this situation is converting OST to Outlook or PST file format. Converting OST to Outlook will serve the purpose and will keep your data safe without hampering its integrity. Rely only on professional OST to Outlook software for these purposes.
