Paper Management

The futures if all offices lie in being paperless

. But being paperless does not necessarily mean that we have no paper at all. We would be requiring some amounts of paper most definitely even then.

So where do we keep all that paper? Crumple it and throw away for identity-thefts? Or shred all of it not keeping a single one for our own use?

To have long lasting paper cracking down there are a few essential things that need to be done. First is the pre-emptive strike. The second is the hot pursuit.

In a pre-emptive strike you need to show preparedness for having paper organised and vanished from sight. It deals with a paper policy that leads us to a paper management system. One of the things in here is that you need to take out time to have stuff into their respective places.

Then there should be a plan for making a filing system. For this having document binders is a very good idea. Then colour coding the files is essential too.

Once we are over with pre-empting we know exactly which thing is where when it is time to file. In hot pursuit we target our main enemy that is our procrastination. We should not postpone paper filing to some other day, rather have an attitude in this regard which says 'do it today'.

Cleaning the file cabinets to weed out unwanted records is a good idea. This needs to be scheduled in our annual calendars. It helps gets rid of the excess baggage the organisation might be carrying.

The experts say if there is no expiry on the document then it is a good idea to wit seven years before parting with the document. Also it needs to be seen that the physical copy of the document is needed or not since mostly we have electronic documents too as back ups. Now you have an efficiently managed paper system!
