Prince2 Training: Document Management And Configuration Management

When running a project with PRINCE2, Document Management is a key activity which

supports the Configuration Management and Change Control components.

PRINCE2 provides guidance on what Document Management is, but not how to do it. Because the PRINCE2 methodology can be applied to a range of types and size of project work, it is not prescriptive in terms of exactly how things are to be applied.

So how PRINCE2 Document Management works in practice is down to the individual project however we can provide a few pointers.

Document Management can often be a particularly challenging concept for small organisations who are adopting PRINCE2 for the first time, as the amount of extra paperwork it seems to imply can be daunting.

However if you look at the components one bye one it isnt always so scary.

Lots of Document Types

There are over 30 different documents types in PRINCE2 however these will not be used on every project. Some can be combined, and you may choose not to use some of them at all. However the core documents are mandatory.

Thankfully there are lots of places you can go to download PRINCE2 templates.

Your job as project manager is to effectively manage your project team and let them know which documentation to complete.

PRINCE2 Configuration Management

Configuration Management is one of PRINCE2s named components, and provides a method for controlling the configuration of the project, and its constituent parts.

The concept is borne out of software engineering, and can be quite hard to apply in some settings (particularly in a small company)

A key part of this is organisational culture

Engineers are familiar with configuration as a principle, as they are brought up with it, and to an extent this is also true of Software Engineers.

However, for most non-technical staff Configuration Management will be a new concept.

By contrast, imagine a typical non-technical project team with a multi-disciplinary crew. They are not doing a civil engineering project but, say, a marketing campaign. The idea of configuration management will be new.

Document Management and Configuration Management are therefore both areas where PRINCE2 Training is invaluable for staff who are new to the PRINCE2.
