And then the next empty folder is number 8 where you put the next 5 pages, and so on until you have the whole 30 pages filed. This is what could be referred to as a fragmented report because its parts are not stored contiguously in the file. This is similar to what happens when your files are stored on your hard drive by your operating system. Part of the file is stored at this spot on the hard drive and another part is stored on down the way somewhere on the hard drive. When your files are fragmented on the hard drive it takes the operating system longer to search the hard disk to put your file back together and open it for you.
Thus the need to Defrag your hard disk in order to help in speeding up your pc. Disk Defragmenter is a utility provided in Windows that consolidates your fragmented files on your hard disk so that they occupy one contiguous space on the hard disk. When your file is stored end to end like this then reading and writing of the file speeds up.
When should you run Disk Defragmenter?
1. On a regular interval (say weekly if you use your computer every day)
2. When your free disk space gets to 15 percent or less
3. If you add a large number of files
4. When you install new software or a new version of the Windows operating system
To run Disk Defragmenter Click Start -> All Programs-> Accessories-> Systems Tools and then Disk Defragmenter.
Run Error Checking Utility - Another thing related to hard drives that you can do is check for and repair bad sectors. You can do this with the Error Checking Utility. Close all your open files and Click Start -> Computer . Then right click the hard disk you want to check for bad sectors and then click Properties -> Tools -> Check Now.
The Check Disk dialog box will open (Error-Checking in Windows 7). You can then select "Scan for and attempt recovery of bad sectors" check box. Then click Start.
