The Fundamentals Of Managed Document Review

Has your boss ever walked in to you office and asked you to take care of something

, but you have no clue what he's talking about. At that moment there's not much you can do other than nod your head, pretend you know what he's talking about, and take copious notes. Then the second he leaves the office, GOOGLE! That's exactly what happened to me last week when my boss mentioned managed document review.

The first things I wanted to know where what exactly managed document review is. Who needs to use it? Why do they need it? Here's what I figured out from my research.

Managed document review is a system for managing security and tracking changes/ access records in documents. One of the most important reasons to have a system like this is to ensure control over who has the access to see and update documents. If you have a good managed document review system, you should be able to find any document you need as well as see its location and who last updated it whenever you need to. It may also help you simply to be able to locate sections of large documents quickly and efficiently.

Managed document review is typically used by law firms in order to track everything from divorce papers to evidence reports and case files. These files can also be in either electronic or hard copy. The different types of documents, security measures necessary, and the sheer volume of paperwork all make managed document review a complicated but necessary process. Because it can be an overwhelming amount of data to handle, managed document review is typically outsourced to a company that specializes in it.

Clearly the most important aspect of managed document review is security, but there is more than one type of security.

Physical security involves the actual hard copies of the documents. This can be as simple as keeping them in locked filing cabinets and ensuring that only the appropriate parties have access. The instructions outlining which individuals are allowed access should be notarized and readily available although the documents themselves may be at a separate location.

The physical security of documents is important, but it is increasingly the internal security that is the most difficult to manage. Due to the increase in electronic correspondence, many legal documents and filings are stored which makes them highly susceptible to viruses and cyber attacks. Managed document review covers all of these issues along with many others.

For a large law firm with a high volume of sensitive documents it is definitely worth the cost to hire a company for managed document review. It will more than make up for the cost to have everything secure from unauthorized changes and at the tip of your fingers whenever you need a file. Hope my research can help you out too!
