In todays world, many of us find ourselves constantly on the move and unable to sit by our PC's. This can be a problem when wanting to pick up emails, access your contact list and calendar when on the move. With the use of cloud computing however, this problem is solved.
The web designers at Google have thought this solution through very well. Gmail will allow you to import your POP3 email addresses and use Gmail as your email client. This is particularly useful when on the move as you can access your email from anywhere, not just Outlook on your PC. Setup is very easy and after entering your incoming mail details, Gmail will pick up your emails. You have two choices when sending emails, using Googles SMTP server or your own. If you choose to use Google's SMTP server the "From:" field in your messages will show the text "name@gmail.com On Behalf Of youremail@yourdomain.com". This may not be desired, especially for a business user in which case, you can use your own SMTP server and the message will not be displayed.
Gmail allows you to setup "labels" which are essentially folders, allowing you to file away your emails in categories. The other big advantage is Gmail will keep one string of messages in your Inbox opposed to Outlook which counts each email as an individual message, so your inbox can become clogged up quickly if you have a long email conversation. This is much tidier and easier to track your messages.
In addition, in the Gmail Labs, there is a "canned response" plugin which allows you to save text that you may regularly type, so when in need of it again, you can simply paste it into the body of an email. This is a big time saver.
Needless to say, the search function within Gmail is excellent but we wouldn't expect any less from Google.
Being web based, you can access your email from any computer, anywhere in the world, whether you are traveling from one meeting to another or on holiday. Find an Internet connection and a web browser and thats all you need.
Google also has "Contacts", "Calendars" and "Tasks". Each equally useful. You can create a list of contacts that you can easily access, as well as create groups, perhaps business contacts, friends and family. This gives you a central list of contacts that you can keep updated.
The use of Google Calendars ties in with Gmail nicely. You can request meetings and reminders for scheduled events.
A task list is also very useful, allowing you to create more than one list, one for personal and one for business perhaps.
As well as being of huge benifit in having everything centrally located and being able to access your data from anywhere, the biggest benifit is by using smart phones. Using the iPhone as an example, it is possible to import your Gmail account to your iPhone email facility. In addition to this, its possible to import your Google Calendars to the iPhone Calendar function and Google allows a shortcut link to your home screen to your tasks.
This means that you can then update your calendar, contacts or taks from your iPhone and it will update in your Google account too and vice versa. With this setup, wherever you are its possible to keep everything updated and keep in touch with all your contacts.
