What Is A Change Management Program?

Change management programs allow companies to evaluate and limit the use of updates

and changes encountered with software, operating systems or application platforms on company computer and networking systems. Changes must be approved in-house before they can be implemented. Determining whether a change can be made or not before it is automatically implemented prevents adjustments and upgrades from disabling other computer capabilities or components. Using a management program to handle an automated a request for change (RFC) prevents the IT department or management team from having to handle the issues on a person-by-person or case-by-case basis. This mainstreams the process, making the it more efficient.

For example, change management software will trigger an alert before automatically upgrading a media player used on an employee's computer. The upgrade could cause a number of issues, including memory or firewall problems, configuration conflicts or work ethic policy violations.

Tracking

When this type of management program, a tracking system can be set up by the business so a designated person or group will be alerted about potential changes before anything happens. Forms can be created and customized from templates to include any information management deems necessary to consider the RFC. RFCs may be classified into categories for what will be different and what will be affected in the event of implementation. For example, an automatic server update may potentially disable the email program, leaving workers unable to communicate with each other or company clients until the problem is fixed. Change management will prevent the update from occurring until the RFC form has been approved. If rejected, the change will not be implemented.


Considerations

With some management programs, companies have the choice to make RFCs through a workflow process where different people have input, or it can be considered at a meeting through a review board. Depending on the company's infrastructure and size, the approval process may be a minor or major step. Once the potential impact has been studied and reviewed, a decision is made. The change is either approved or rejected after it has been circulated as needed.

Results

In the event the RFC is approved and takes place, post-implementation reviews can be done and circulated to necessary personnel so that any effects from the changes are tracked and recorded. If unforeseen problems were encountered, they will be noted here. The conflict can be used as a learning tool to prevent future similar issues.

Reports and charts can be created with some of these types of programs, allowing post-change assessments and evaluations. This material will be available for future reference with other server updates and application changes.
