What To Discuss With Your Balloon Artist- Balloon San Diego

You've set the date, you've found your venue, and you're ready to meet with the balloon company

. But what should you discuss with them? Should you just call up and order an arch and a column? No, you've hired a professional, so let them help you come up with the perfect decor for your event. They may be able to tell you about new trends in the industry, or design ideas that you otherwise may not have thought of.

Here is a list of the type of things you should discuss with them:

1. Your vision- what kind of ambiance are you trying to create, what is the purpose of the decor?

2. Color Scheme


3. Budget- don't be afraid to talk about your budget in the first meeting. It will help your balloon artist steer you in the right direction and set priorities for the decor. After all, if you only want to spend $1000, there's no point in your decorator showing you tons of photos of $3000 sculptures. Similarly, if you are doing a high-end event, with a huge budget, you might want to know about the Exploding balloons and the balloons with lights inside of them. Some of clients are worried that by telling the budget from the beginning, the prices will change accordingly. While your designer may put together some custom packages to work with tight budgets, really it just lets them know which options to put in front of their clients. If you are working with a reputable company, you shouldn't worry that they will behave unethically, the more information you give them, the better they can help you.

4. Who are the other vendors? Giving this information to your balloon artist will help them figure out the logistics of setting up your event. For example, there was a caterer who would come into the room and take over, not paying any attention to where the arch lines were strung out or anything. We quickly learned that if he was catering the event, we needed to come and go before he and his crew arrived. Another time we were hired to work with one of our favorite DJ's. Knowing that we were going to be working together, we were able to work out a logistic issue between the two of us, without having to bother the client about it. So, knowing who the other players are really allows us to coordinate better, so we all can help make the event even more amazing for our mutual clients.

5. Are you doing a multi- media presentation, or is there a speaker? Knowing what else will be happening at the event allows your designer to help you plan decor that will work with your event instead of against it. For example, if you are having a multimedia presentation, and the screen is in the front center of the room, you may need to rethink having the arch across the stage as it may get between the projector and the screen. Or, you might want to plan decor to frame the screen and make it a focal point.

6. Is it a buffet or a sit-down? While this seems like it wouldn't make a difference to the balloon company, it can help us understand what the room flow might be and we can help you plan the decor accordingly. If everyone is sitting around a round table, and the food will be served family style (big bowls in the center of the table), then you might want to think about a smaller centerpiece base, so as not to take up too much of the table real estate. Or, if you are having a buffet, you might want some decor on the buffet tables in order to make them a focal point.


7. Who are the guests? I don't mean individual names, but more about their demographics, are they senior citizens, teenagers, children, business people, etc. If they are all older, your designer may steer you to more stable decor with a wide footprint and a heavy base instead of bouquets with lots of strings and a small weight that can easily be tripped over...

In short, the more information you share with your balloon artist about the rest of the event, the better they can help you choose appropriate decor and help you design your perfect event.
