How to Organize Your Files

Many women own small businesses that make them to busy to do many small tasks on the spot, even for simple tasks like filing papers and entering data. In this case, a woman should know some steps to organize her files in little time on the spot while ensuring that things are running well.

Sometimes, during her spare time, a business woman only has time to work on her books. It could also happen to you! If your business requires you to get many file receipts, you can file them in proper places they come in to prevent lost. This is a better way to do than tossing all the receipts in a box before dealing with them later.

From now on, you can put some boxes to be permanent places to store them in. It will not be nice to lose those important files just because you do not have any specific place for receipts. Putting a filing cabinet near your desk is a good idea for this as the cabinet will be accessible. The file cabinet helps you to file the receipts even by month. If you do not have special budget to purchase a filing cabinet, you can consider using an accordion style folder. Then, in the end of the day, you can prepare some time to enter receipts into your books or computer based on the categories you have applied. If you do not have time for this, putting the receipts by month into batches will be nice. It allows you to easily input the files later and to find them when you need one.

Before filing all the files, it is good to make a notation on the files that have been recorded. To mark all the files, you can use stamps with some notations like "entered" or "paid" written on them, depending on the categories of the activities. This marking allows you to know even at a glance if you have already entered it, eliminating the risks of duplicate entries. It is really helpful since you no longer need to search your books to know if the amount was already recorded.

It is important to do the file organization regularly in daily or weekly basis constantly. We all know that time flies, so you will find difficulties at the end of the year when organizing the receipts. It looks simple, but it can create a lot of stress for a business woman, giving the risks of costly accounting mistakes. Come on, women are considered the best in playing dual roles of being a business owner and wife, so keeping your books up-to-date is not a difficult task. Remember that success comes from well-organized life, so organizing your files is an effort to get more-organized life.
