subject: Our Technology Favors Us (a sneak-peek On Office Automation) [print this page] To simplify, improve, and automate the organization of the activities of a company or a group of people, office automation should be present and should be strengthened.
Office automation refers to the varied computer machinery and software used to digitally create, collect, store, manipulate, and relay office information needed for accomplishing basic tasks and goals. Raw data storage, electronic transfer, and the management of electronic business information comprise the basic activities of an office automation system. In its basic form, information exists as letters, memos, graphs, records, messages, and so on. When that information is electronically transferred, raw data is exchanged between two or more office employees, either at the same or different department.
In order to process information, office automation systems must allow input of new information and the retrieval of stored information. Input of new information refers to the physical transfer of text, video, graphics, and sound into a computer. Input can be typed into the computer or scanned (digitally reproduced) from another document or source. New advances in input devices frequently allow direct handwritten input or voice dictation. Input of pre-existing information means retrieving the electronic materials from an existing storage area. These storage areas can be finite and local, such as the hard drive on the office PC, or as seemingly infinite and global as the Internet, the worldwide collection of computer networks that is growing every year. As we can see, these computer machinery and software are very important when it comes to offices, organizations and other groups. It does not only make the load lighter but it also assures precision and accuracy when it comes to output and task related things.
Moreover, office automation can get many tasks accomplished faster, eliminating the need for a larger staff. Less storage space is required for data, and copies can be easily transferred off-site for safekeeping in case of fire or other emergency. Multiple people can be updated simultaneously in the event of schedule changes.
On the other hand, older staff members may have a harder time adjusting to the new technology and be unable to use it efficiently. So the best thing that the company should do is to have a proper training for the oldies and of course newbies should be encouraged to guide them with this one, lower down your ego oldies!
With our full access of too much technology nowadays, I cant imagine now what more this life can offer us. Maybe, it will be too much if we ask for more, we are too blessed to have everything in our bare hands. So I guess, we should utilize and maximize the uses of these God-given-technology and be thankful, after all, its not hard to get down on your knees and pray, right?
