Every business should strive to achieve maximum efficiency in all their operations, where efficiency is basically getting more work done, with less effort and time. You should never sacrifice quality of work in aiming for maximum efficiency, unless it will not have a negative effect on your business.

I believe that the best way to achieve efficiency is to systemise as much of your work as possible, without making your end service or product seem impersonal. When systemising your business you aim to make it as streamlined as possible.

When systemising you should make sure the process is well-documented, in an easy to follow document, such as a flow chart. This way it can always be referred back to to ensure that the process is being followed correctly.

There are a number of benefits to systemising. As well as speeding up processes, it also allows for an easier transition for new employees. This is where it becomes even more important that the process is well documented. You want to be able to go through the process with the new employee so that they can easily understand what they have to do, and can keep referring back to it, making sure that they are on track. With this also comes the opportunity to delegate a task to another employee, for example if an employee wants to go on holiday, another employee can more easily look after their jobs for them.

Systemising can also help to maintain consistency in your service or product. If a specific process is always followed correctly the end result should generally be similar every time. Consistency is an important factor in the eyes of your customers. They should be sure that they are always going to receive the same high quality service, and/or product.
