I've compiled a selection of free e-tools that I've found indispensable in my photography business. This list shows that you can run a small business with the bare minimum of overheads.
Dropbox
If you're a photographer on the go, shooting and working on different computers in multiple locations and staying mobile while managing your business, you'll find Dropbox an extremely useful productivity tool, like I did.
Imagine this scenario: You just updated your photography rate sheet on your office desktop computer, when you realize that you're late for an appointment with a potential client. You quickly save the file you're working on, grab your notebook computer and head to Starbucks where you're supposed to meet them. They have a few questions regarding the rates, so you pull out your notebook and viola! Your latest rate sheet is now already on your notebook, even if you only updated the copy on your desktop computer. That is because Dropbox automatically syncs the two copies when one of them is updated. All that is needed is an Internet connection.
Not only is this a great productivity tool (no need to copy onto a thumbdrive to transfer the rate sheet to your notebook), it also doubles up as a backup tool. In case your notebook gets stolen, you still have the same exact copy on your desktop.
This also works perfectly in my home office where there are two desktop computers. I can confidently work on the latest copy of a file, no matter which computer I'm working on at the moment.
Google Calendar and iPhone
Having your calendar available online enables collaboration among fellow team members in your photography team, as everyone's schedule is visible to the team. If you use an iPhone too, this calendar is accessible anywhere you go, because iPhone's calendar can be synced to your Google Calendar. Using Google Calendar, I can also create public calendars and share them, as seen on my SimpleSLR website.
Wikimapia
Even if you have a GPS, making a quick check on Wikimapia.org can help you quickly get your bearings right before an important shoot. This wiki-style map with user-contributed places of interest is useful for finding landmarks.
Facebook Page Notifications
If you have at least one Facebook Fan Page, you would have noticed that Facebook does NOT notify you when someone posts something on your Fan Page wall. Facebook does a great job of notifying you for your personal page wall, but lets you down when someone posts on your Fan Page wall, where you need it most. This neat app fills this gap in Facebook's otherwise fantastic platform for businesses like mine.
Open Office
If your business uses multiple desktop computers and notebook computers, licenses for Microsoft Office can get expensive. Open Office is entirely free, and can open and save in the main file formats that Microsoft Office uses. This means that documents created in Microsoft Office can be opened in Open Office, and saved either in their original file format, or in Open Office's own file format.
The mobile office is now a reality
Even if you're overseas on a shoot, all you need is a notebook computer and an internet connection in order to access your files, be it your expense spreadsheet, your latest rate sheet, or your work-in-progress blog post (I am currently 500km away from home and typing this during my extended Chinese New Year vacation).
