subject: What Web Conferencing System Is Right For You? [print this page]

Do you, like so many people, dislike the prospect or idea of setting up a conference? Does the thought of working with multiple schedules, securing locations, and making travel arrangements make you cringe? Or do you not have the money to get everything taken care of? Luckily, there are easier ways to connect with others.

Web conferencing is becoming a more and more popular way to conduct a conference or meeting, especially when those that need to attend are in different cities. Businesses or individuals can easily set up and use these programs to make contact with people all across the world.

There are a few different web conferencing tools available for use and they all have different features. The key to finding a compatible system is to really think about the types of things you want to be able to do during your meeting or conference. Are you going to need to upload any type of visual presentation with sound?

A well organized meeting or conference requires many documents and a good agenda, and everyone will likely need access to those materials. You should also remember that not everyone is using the same type of computer. Be sure to pick a system that can share materials across Mac and Windows operating systems.

There are two basic categories of web conferencing software that you can choose from. The first category is freeware, or software that you can find online that does not require payments of fees. These are simple programs that you can download and install on your computer.

Make sure that these programs come with all the instructions you need to install it and use all its features. You may not have as many options with freeware programs, but if only hold occasional meetings with a few people, this is a simple and convenient way to make contact.

On the other hand, if you need a program with a lot of added features and capabilities you might consider going with professional web conferencing software. These higher-end programs will allow you to incorporate visual and audio presentations, share files between participants, track your projects, and use a white board program as you speak. These programs will also be able to handle large numbers of participants very easily considering most calls contain many people from all over.

To save yourself and your company time and money, consider switching to a web conferencing system. You might find that it will boost your productivity and get you a better bottom line.
