subject: Hotel Managers - Painless Scheduling [print this page]

As far as professions in the hotel industry are concerned hotel managers are among the busiest people. Here is a breakdown of their day. Before we proceed it is important to point out that hotels are open twenty fours a day seven days a week and as such hotel managers are always on call. Sure, they may have off times and even leave the hotel in the evening for home just like everyone else but their beepers are always on which undoubtedly means that they're still on the job.

The first order of the day for any hotel manager after arriving at the hotel premises is to review the daily report. This is a report that every hotel produces that includes all the activities and happenings in the hotel during the past twenty four hours. Statistics such as the amount spent during the day and the earnings made are also included in this report plus the number of visitors who checked into the hotel and the number that checked out. Projects that require immediate attention are also mentioned in this report.

Once the report has been reviewed, the manager is required to meet the staff members in a staff meeting. These meetings are normally about briefing the manager on any other details that might not have been included in the report. Staff disputes and complaints are also presented which the manager has to tend to. After all the issues have been aired, the manager can then retire to his office and prepare for the next phase of his job - interviewing potential staff for recruitment. In rare cases where there are no scheduled interviews, the manager will be busy going over staff records and examining their job performance. In other cases they can be found reviewing various hotel deals and contracts trying to find ways that they can streamline their budget so that they can increase their profits. Sometimes when this is happening a very important guest might grace the hotel premises and the manager will be required to stop what he was doing to personally welcome the guest. Mind you we have not covered emergency situations and how the managers are supposed to react.

Clearly, this is not a profession for everyone. While this post cannot claim that it has found a way to make the profession hassle free, it can certainly recommend a very effective way of managing all these responsibilities. By simply using client scheduling software, hotel managers can be able to lighten their workload to be able to obtain that much needed breathing space. Here are a few ways that client scheduling systems or online booking systems can prove to be beneficial to these workers.

One way that appointment schedulers can be beneficial to hotel managers is by helping them with their scheduling needs. Sometimes a staff meeting that is usually held at eight o'clock cannot be possible. In such cases the manager can simple reschedule using the scheduling system and the staff will be notified immediately on the new time so that they can focus on other duties. In the same spirit, the manager can also choose to cancel staff meetings for that day. By using these systems instead of making phone calls he ensures that he is not bombarded with additional requests that might come from the staff.

Online booking systems, provided the right scheduling software has been installed, can also be used to help these managers stay on top of all their tasks and responsibilities by periodically notifying them of the tasks that need to be done, when they should be attended to and the timelines involved. This ensures that a detail about a given task does not slip from the manager's mind and end up costing the hotel money or even cause the hotel reputation to dip.
