A successful office is a combination of the right people, leadership and equipment. There are some basic items that every business, no matter what the size, needs.

Color copiers are a must have in the business world. Having to send people out for color copies is a waste of time and money. Color printing will come in handy for everything from creating presentation materials to printing invites to the office Christmas party.

Office shredders are key for office security. With today's technology, a hacker does not need much to hack into your system. From there they can steal customer information, company secrets; they may even be able to access financial systems. Several hackers have been caught snooping around in the dumpster of large companies pilfering documents. It sounds disgusting but it happens very often and it's the reason large companies like Bank of America shred or incinerate documents.

For organization, a high speed scanner is key. Keeping hard copies of documents can be problematic. For one, over time, accumulated documents can take up a lot of space. This can mean paying for off-site storage. Also these documents, if they are sensitive in nature, can be stolen. Also the more documents you have around the harder it is to keep track of things. If you get a high speed scanner you can scan all documents prior to shredding them. Then you can save the scanned files on a computer and, for security and back up reason, on an external drive. This also allows you to better organize these documents by client, date, etc. Some programs can even scan documents for keywords, even documents like forms that may have portions written be hand.

This list of equipment may seem daunting, especially for someone with a small business or someone starting a business. Keep in mind that many office equipment suppliers you can lease these things. Not only does this afford you the luxury of a pay as you go system but a lease will come with support. That means you do not need to hire someone just to look after the machines.

Many of the aforementioned machines can be purchased in one all-in-one unit. These large machines contain a color printer, a scanner, fax, and Xerox copy machine. The perk of a large machine is that, via computer networking, everyone on staff can be hooked up to one machine. This makes things a lot more convenient for everyone in your office.
