There are certain industries where employees have to report tips, including restaurants, casinos, entertainers and comedians to give you several examples. There is well established practice to outsource payroll processing however in these industries you may decide to process it in-house. Some ERP and accounting applications do not offer payroll module but Microsoft Dynamics GP formerly known as Great Plains does. We would like to review this form and its editing, printing and data repair procedures. Lets begin with definition:

1.Use the Form 8027 window to enter information for Form 8027, a form used by large food and beverage establishments to report tips and receipts to the federal government. You can edit or print Form 8027 or its associated preparation report as long as the year-end wage file exists for the year you want to use.

2.In order to print the form you have to first close the year in Payroll and Print Year End and Print Year-End Wage Report. When you are done with that information will be recorded in Payroll Year End tables: UPR10100 through UPR10107. Prior to printing report you have an option to edit reported tips information as there are estimations for each industry in percentages. When you are done tips are recorded in Payroll Employee Tips Fiscal Summary table UPR00903

3.Procedure. Tools -> Routines -> Payroll and here you should do Year End and Print Year-End Wage Report and then Print Form 8027

4.Data Repair. Sometimes you make mistakes and need help in changing numbers or redoing year end closure. If you have programmers in-house (IT) then before doing SQL updates or deletes be sure that you have recent backup and ready to roll back. Review tables structure: Tools -> Resource Description -> Tables

5.Old Versions. There was a lot of buzz recently (in 2011 and 2012) about Social Security mismatch between employer contribution 6.2% and employee contribution 4.2%. If your Dynamics GP version is 9.0 and higher (10.0 or 2010) then you can apply tax update. As you know version 9.0 support is no longer available this is why you can still apply 2011 Tax Update released in January of 2011 and then update percentages manually taking SQL scripts from version 2010 or 10.0. There are known issues in taking tax update from newer release especially when you are matching 401K employee contribution with employer limit cap. So please consult with your VAR first or call our office

6.Versions 8.0 and earlier. There is procedure recommended by Microsoft where you are reducing FICA tax to 4.2% to make W2 accurate. Employer portion increase to 6.2% should be done in General Ledger entry

7.Great Plains on Pervasive SQL Server 2000: 7.5, 7.0, 6.0, 5.5 and earlier. Here tax update should be done via ODBC connection tool such as Microsoft Access
