subject: Quality Management Software: Conform To Federal Requirements [print this page]

Quality management system applications, also referred to as QMS software, permits a business to generate and sustain a system to provide quality assurance through all parts of the company. Concurrently, it can enhance the production process so that goods and services are delivered to clientele more quickly and successfully. General customer satisfaction is improved with the more effective procedures obtained with the program.

Most business owners will say that the principal process in any business is quality management. This holds true for not-for-profit and for profit organizations and even for health-care maintenance organizations. Quality management can be overlooked, but it's a tool that guarantees quality in the output and merchandise of a company.

Traditionally, items were created by the same person, for example a cobbler creating a pair of shoes. The Industrial Revolution transformed that by utilizing masses of workers to focus on specific stages of the manufacturing process. Henry Ford and other business pioneers saw the limits inherent in mass production approaches, so assessments by quality control employees became the norm to avoid having low quality products go to market.

Quality control produced many techniques such as statistical control derived from World War II manufacturing methods. Advancements continued in the field, and today they are usually carried out through QMS software to remove varying quality in the output. Errors and faults can be captured and rectified before they ever have a chance to make it out the door.

Businesses usually purchase QMS software to increase profitability and to meet or even exceed client expectations. Using the software permits all of the business processes to be documented and managed in order to implement adjustments and improvements to the procedures. The overall performance of a business is continually monitored so that quick adjustments can be made as needed to boost profits.

A business needs to know that workers are all following the same procedures and practices as their fellow workers. A quality manual documents procedures so that the employees know what is expected. Usually upper level management approves and maintains the manual. A company hopes to lessen and eliminate non-conformance to accepted specifications and standards to be more cost-effective and efficient.

An important function of QMS software is continual improvement that will increase profits. When staff work with a quality system and make it a point to eliminate waste, the organization cannot help but succeed. Many companies also implement "quality by design" or QBD to ensure a top quality product. This helps decrease quality gaps.

Some sectors must have quality management systems, including pharmaceutical drug companies. The Food and Drug Administration requires an accredited QMS to help safeguard the health and safety of customers. Even if it isn't demanded by a government regulatory department, a company that has a quality management system is more appealing to potential clients and partners.
