If only single user is unable to print then you should check the problem (common printer setting) in the local PC. The problem may be a network problem.

Paper jam, run out of paper, toner cartridges or print cartridges problems are most common problems in printers. If you are using first time in a day then you should check the plug, cable and power. If the printer is warning for error then anything is wrong with the device. Check the router or switch and the cables connecting the printer. Check the printer server, the IP address, the network card and the spooler. The network may also be down. There are some common messages that are displayed on screen when the printer fails to execute its command. It may show Toner Low, Paper Jam or Paper Error messages.

If you are working on a network and sharing the printer then while problem you should check 4 major sources. If an individual client or user is facing problem while using printer then you should check the client computer first. Check that the printers driver is properly installed or not after making it sure check the printer settings. It is often seen that mistakes in configuration lead to the user being unable to print.

If your printing menu is not showing the printer then you will have to connect it first with the network printer server. If the administrator is allowing the use of printer then you can do it easily. Simply go in printer and faxes from the control panel and select add printer and follow instructions. A list will be shown of printers, select your printer and make it default printer.
