Keeping a team fully abreast of any investigation is a vital part of team work. The team must have all the information available to them before any Investigation takes place and on further developments in the Investigation.
Before an investigation takes place it is very important the information received from the client is fully absorbed by the team leader. The team leader should then bring the team together and fully brief everyone on the subject and the details of the investigation. Making sure that the:
Briefing Room layout is correct
Sequence of briefing
Briefing Sheet prepared
Briefing delivery procedures are thought through by the team leader
Confirmation and Q & A are conducted
Rehearsals if needed are conducted
Pre-deployment checks are carried out
The team must be given individual tasks/goals to achieve. The team manager should allow the team members to discuss how they believe the best way to achieve results in this investigation. Discussing all aspects of the investigation including, methodology, sources of information and individual tasks etc this is the first aspect of keeping the team up-to date.
Now that the teams are all briefed and fully aware of their responsibilities of the investigation the team leader should be making notes within the Subjects folder and to keep the client informed on what is happening. The teams are to ensure they are making notes of all the actions they have taken at and since the briefing. They should be relaying this information to the team leader who will be able to collate all the teams' information and disseminated accordingly.
The Investigation should then take place and information should be relayed back to everyone involved in the investigation, again the manager should be collating this information and relaying it to the people who need to know whether verbally or in written form. He/she should then make sure the information is written correctly and details kept in the file and relayed to the client.
After the investigation is complete debriefs should be conducted by all the team members making sure that all information is collated and that the information is correct. At this point the team leader can get the views of all the team and make sure that nothing has been missed. This gives the team leader an opportunity to debrief and praise his/her team if they have done a good job of the investigation.
The team leader is to ensure all the information has been logged and placed within the file. He is to make sure the client has received the information required. The file must be then stored in a location which is secure and that the information can be easy retrieved if needed again.
To conclude we have covered the ways of ensuring that all team members are kept up to date with current developments in an investigation. Firstly the team were brought together to discuss the investigation, briefed on the subject and the aim of the investigation making sure that all briefing points are covered.
They were then kept up-to date on their individual tasks/ responsibilities and informed by the team leader to relay the information to the team and him. This information was passed on to all through verbal and written communication. All information was collated by the team leader and disseminated to the people involved through briefing, verbally or written communication.
The team were then debriefed after the investigation which gave the chance to get together and discuss the complete investigation making sure that no information was left out. The team leader could also praise the team on their efforts.
The team leader then made sure that all the information on the investigation was passed on to the Client. The file was fully up-to date and put away safety were it could be easy retained if needed in the future.
