As a freight broker, the first step to covering a load is to find a carrier able and willing to take it on, and then pre-qualifying the carrier. Once the carrier has been pre-qualified, the broker should check the motor carrier's authority, insurance, and driving record. If these don't check out, or are questionable, then a different carrier should be located. There are enough carriers out there that it usually will not be difficult to find someone willing to carry the load for a reasonable price.
Starting out as a new broker you may not be able to be as picky, but definitely look for the best-qualified carriers you can find and still maintain a reasonable spread. The carriers with the best reputations will likely not be interested in working with you until you have established yourself in the market. By choosing well-qualified and reputable carriers you will protect yourself from claims and other liability while building your reputation as a good broker.
Next you will want to fax or e-mail your setup package to the carrier who will be transporting your load. In this packet the carrier will provide proof of his authority, surety bond and other required documents as needed. This document is absolutely essential and could cause you a lot of heartache if not put together, processed, and handled properly. Make sure that you obtain a quality broker-carrier agreement, preferably written by an attorney well-versed in the freight brokerage industry. This will ensure you are protected as much as possible on the legal front. The legal issues are always a popular topic of discussion at freight broker training courses.
You will then need a confirmation which you will fax to the driver and receive, returned and signed by the driver. Once you have received the confirmation you will talk to the driver directly about the load to be moved. Be sure to give detailed instructions for each load individually, as each load will have special and specific requirements, and it is in your best interest to ensure a clear line of communication is maintained between you, your carrier and the shipping company. Stay in communication with the carrier so that you know the progress of the load, and are able to communicate to the shipping company and the receiving company the status of the load and when its estimated time of delivery will be.
Doing all of this efficiently and in a way that will foster good relationships, understanding, and trust between you, your carriers, and your shippers will ensure that your business is successful and will help you build a strong reputation and likely some return customers.
