Dealing With Disaster At Your Event

Disasters are something we never plan for, but they do happen

. Whether your tire goes flat on the way to a big meeting or your chicken souffl just caught on fire, a disaster can set you back and leave you wondering- so what do I do now?

This isnt really something that you want to be asking yourself when the power goes out, especially when your event is largely underway and your guests have already begun enjoying the experience. You may find yourself scrambling, texting, and calling a range of numbers that could fill up a phone book while your guests are staring and wondering why the power is out.

To start, ask yourself how you would prepare for such a situation such as no electricity. This is an odd thing because its normally only missed when it isnt there. Youll need to target several different areas of your event and make sure that theyre flexible enough to either compensate or can be solved quickly and without struggling.

So, what should you do when the lights go out? Should you play it off? Can you play it off? But most importantly, can you make the most of it?

What about incorporating lighting of different kinds. Dont just rely on the overheads to maintain the look and feel of your experience, especially since they arent the only source of light that can really set the mood and design a unique experience. What about candles? Does your facility have windows and will they offer lighting (sunlight). Lighting plays a big part in your events mood, so it is a good idea to have some versatility planned into the experience.

Of course, lighting isnt the only part of the event, and other additions such as music and equipment will likely need power as well. Consider the importance of backup power. If youre renting a facility, you want to ensure that you get what you pay for. Discuss power outages and inquire as to what your facilities contingency plan is in case of emergency. Do they have their own generator? Is that something you might have to add into your expenses or provide? Is there a number you can call in case there is a situation? Its good to have an idea of what youll need to arrange for, and who will need to know what, just in case the power does go out.

Is your caterer prepared? How are they going to keep the food warm or cold (desserts can go bad and ice cream will melt!) Those who are familiar with West Texas catering techniques understand that it is always important to be prepared in case of a disaster. Electricity isnt always available, but you can trust your caterer to be able to keep your partygoers appetites satisfied.

Dealing with a disastrous power outage isnt on the to-do list of many party-planners. But that doesnt mean that it cant happen; after all, disasters are justly named because they happen when they are least expected. Though disasters can happen chaotically and unpredictably, we must always hope for the best and plan for the worst, so be sure you plan your event from every angle and ensure your guests have a splendid eve and enjoy the party.
