Event Coordinator - How To Successfully Plan An Event
Starting off as an event coordinator? Confused about what to do in the first event
you've been entrusted to plan out or you're just nervous about a huge event that is coming. Here are a few simple tips that would help you make your event a success:
First, make sure that you made a list of the things that need to be done. For instance if you are planning a birthday party make sure that you make a list of the accessories required to pull the party off in the greatest possible way. Remember your success as an Event Coordinator depends heavily on the success of the event that you plan.
After you have made a random list of accessories required, put it in a chronological order. This would help you while shopping and arranging the items.
Then start your shopping by making a budget, if you make a budget it will help you to divide how much you can spend on every item on the list and if something is exceeding your finances you might want to replace it with a cheaper item.
Then make a trip to the garage or the spare store room to find if there is something that can be recycled. Luckily if you do find something to use, cut it off your list so you accidentally do not go ahead and buy it as well.
Time is of immense importance. Plan ahead and make sure you are fully prepared for the event at least two days before the commencement. In this way you would be prepared for any unforeseen emergency.
Plan up to meet with the hosts of the events several times before and during the preparation of the event so you make sure the actual event is carried out according to the wishes of the hosts. Miscommunication of any sort regarding the plan of an event can prove to make the function a wrong turn. This can of course be avoided by successful communication.
Venue again, needs to be chosen prior to all the dcor, seating arrangement and entertainment since most preparation would have to be made accordingly. Remember it is important to select the venue keeping the event in mind. Your target audience, type of the event; i.e. a children's birthday party should not be arranged in the lobby of a fancy dinner since children need space to play, walk around and generally enjoy themselves. At the same time it will be inappropriate to organize an expensive marketing campaign targeting other companies in a playground.
Plan ahead and some farsighted thinking is also necessary, for instance in a rainy season it's always better to avoid out of doors functions. Neither wet grounds cheer up any guests nor are they pleasant. In extreme weather, in absolute heat or cold make sure that you have on your disposal the appliances to make the temperature comfortable at least.
Make sure you have ordered enough seating, food and crockery for all the guests invited. In fact it is a good idea to send R.S.V.P cards so you can predict beforehand approximately the number of people you are required to host.
Becoming a part of the host yourself is never a bad idea, as it will give you an insight on how your planned event comes off actually. You can learn from any errors that you might have committed and in your next events avoid them. Your success as an Event Coordinator lies in your ability to make timely and appropriate decisions.
