How To Find Function Rooms For Your Party

Lets be honest from the very outset. You want the best and you want to pay the least. Unless, of course, you have some funds to back you up, in which case you can splurge all you want and it really doesnt matter. But I am going to use this article, to guide you into finding the right venue for your function at the smallest possible cost.
Why should I listen to this guy? That is a good question to be asking yourself right about now. I am an events coordinator/manager. I have made many networking contacts for organising functions for special events as part of my business. From venues, live bands and musicians, restaurants and even photography studios. And I am going to pass on the knowledge I have gained in how to find classy and stylish function rooms at affordable prices for your event.
I will out line the things you can do yourself in an easy to follow format and if you read on to the end of this article, I will include a shortcut you can use to make things a whole lot easier for yourself. But it is, nevertheless, useful to know how the process goes. Or at least, the one process I have devised.
Pre-Venue Considerations
Theme of your event: Whether it is a birthday, bucks or hens night, social event, fundraiser event, or corporate event is important as this sets the theme of the night. And in turn it will determine which venues are suitable and which are not.
Furthermore, some functions and parties involve themes, such as dress up, or belly dancing classes (for hens nights) and this theme needs to also be considered when choosing the right venue for your function.
Step 1
Focus on the part of the event you are organising right now. Forget about all the other things you have to do as part of organising your event. It is important that you only focus on what you are doing right now. If you have too many thoughts about all the other preparations for tomorrow, and next week and so on then you are really wasting a whole lot of energy on worry, quite needlessly.
Focus on the NOW. What is important now is what you are doing now. It is quite easy to feel overwhelmed, stressed and frustrated if you are constantly thinking of all the hundreds of things you have to do all at once. The trick is to have your mind focus on NOW. All the other things that need organising for your function will have their time in the NOW and they can be dealt with in the same manner when that time comes.
Step 2
How would you approach a function room manager/owner? If you have a few function rooms in mind already then contact them right away and tell them what you are planning. Show them that if they have your function event at their establishment, it could mean a whole lot of market exposure to a new clientele base and, therefore, a lot of potential NEW business. You will be buying drinks at the bar and they will still be making money on the night so see what kind of discounts and package deals they can do for you in return for the market exposure and business at the bar you will be providing for them.
If, on the other hand, you do not have any venues in mind at this stage, then it is a good idea to make a small list of the possible function rooms that are suitable for the event you are organising. You can either have friends make suggestions or go on the internet and do a few searches. Once you have compiled a small list, contact the venue owner or manager and follow the guide in the above paragraph in terms of what to say to them (be sure to speak with an owner or manager). If you are able to find an establishment where the owner is also the manager then you are in luck because it will be a whole lot easier for you to show them the value for them of holding your function at their function room.
Step 3
Have a sit down meeting with the venue owner/manager and discuss with them what you are after. Exactly what you would like to achieve with your event and the entertainment you wish to have there. The venue owner may even be willing to help out in some parts of the organisation. Because it is in his/her best interests for the event to be a success. Then everybody from the function will talk about that venue every time they talk about the event itself. Talk about market exposure for the venue owner.
Step 4
Book the time and date in with the venue and then get to organising all the other things for your function. Remember though, focus only on what you are doing NOW. Unless you like to feel overwhelmed, frustrated and stressed.
