How To Navigate A Trade Show While Carrying Banner Stands And More

Moving a trade show booth from one place to another is never an easy task

, particularly if the unit itself is large or heavy. When you're actually at a convention and trying to navigate between other exhibits that have already been set up, potentially trying to clear tight corners, it can be very tough to maneuver. Successfully moving your trade show booth or banner stands from one place to another is quite a task, but with proper planning and some clever designing, you can make it much easier.

Always Come Prepared

Whether you are moving banner stands or large trade show displays, you should always prepare your item to be moved. If it's a larger exhibit, then you will want to consider a specialized shipping case (or set of them, if it's a particularly large unit.) These cases should have wheels and should ideally have a set of casters that allows them to move in any direction without issue. The wheels should have locks for easy unloading.

If you don't have a specialized case, you might want to consider building your own moving station. This can be easily accomplished if you're a bit handy with tools, but should not be attempted for any trade show booth weighing more than about 50 pounds. If it's a very heavy exhibit, you need to leave this job to the pros. To make a basic frame, you can simply use strong wooden beams to make a square, and then reinforce it with cross pieces in the middle. Attach wheels on all four corners, plus one in the middle as needed. Then attach a handle, or even fit it to the size of your trade show display's box, so you can push it using the box alone.

Never Rush When Pushing A Trade Show Booth

Always leave yourself ample time on the morning of the convention so that you don't have to scramble. This is good practice in general, but it becomes even more important whenever you're trying to maneuver a large exhibit. No matter how badly pressed you are for time, you should never hurry this part of the set-up process. If you rush, you could end up damaging your unit, and you run the risk of damaging other trade show displays as well. If you have never maneuvered your current unit, you should give yourself at least an extra 30 minutes just to be safe.

Carrying Banner Stands

Banner stands are easier to hand carry than larger units, but they still present their own set of problems. If you use a series of shorter banner stands to combine into one larger exhibit, you'll have an easy time getting them inside and set up. If you use a single large banner, you've got the same kind of problem as someone who uses a full trade show booth: your unit is ungainly, and if not properly moved, it could damage itself and others.

To properly move this kind of unit, you will need at least two people. One should hold each end of the unit and move it carefully through to the set-up point. You will need to have excellent communication between these two people, as they will be coordinating their movements. Luckily, this kind of unit is not heavy, so taking your time isn't a problem.

The ultimate key to getting your exhibit inside and set up with no hassle is to keep a steady pace. Don't rush yourself, cut corners, or try to take shortcuts. Take a break as needed. If you follow this plan, it may take you a little bit longer to get the unit to your assigned space, but it will be worth it for the diminished stress and low chance of damage.
