How To Understand Sharepoint Workflow In Just Ten Minutes?
I have attended many seminars and conferences where the subject of interest is of course SharePoint development and in particular SharePoint workflow
. Usually many tend to provide so much of detailed information on Sharepoint workflows that one gets completely confused and at the end of it has no clue what is right or wrong. This article is an attempt to untangle and simplify workflow to such an extent that it wouldn't take anyone more than 10 minutes to understand the basic. I hope to not only simplify but also show a practical approach on how to understand and implement Sharepoint workflow in businesses and organizations.
First the basics on SharePoint workflow
* It is a kind of roadmap in the simplest term, which means that it directs the flow of work in any organization.
* Within any organization there are long, tedious and often complicated processes. With SP workflow, managing these complicated processes literally becomes a cakewalk because it gives clear picture of the complete process
* It is quite convenient to route forms and documents through Sharepoint workflow and enables employees to easily share and collaborate different documents
* The best part about sharepoint workflow is that it offers a visual indication of a particular process, which means one can easily audit and track the progress trail of the process
Now, you know what it is all about; therefore the next step is to create a simple Sharepoint workflow to understand how it works.
Creating Sharepoint workflows from 'Out of the Box'
My objective is to make Sharepoint workflow accessible to everyone where no one feels left out or thinks that he or she will not able to use these workflows to their benefit. Therefore, I decided to take the easiest available template called 'Out of the Box' that can be easily added to any SharePoint document library. It is up to you to complete decide if you want you add a document or when you change a document or in both instances.
Remember, that once you have created your Sharepoint workflow, it is designed to automatically run, however, if you are not comfortable with this feature then you can also opt to start the workflow manually.
You as the user would also need to establish the rules once the workflow starts. Well, these rules are nothing too complicated and they are basic details such as, does the document need approval; adding favorites; adding a particular date etc.
Once you have entered the basic details and initiated the Sharepoint workflow, you are well on your way to using it successfully.
In case, you are wondering this sounds too simple and is the solution same for complicated processes, then let me correct you, this example is for a basic workflow where the requirements are quite straight forward and without too many hassles. This type already has a pre-defined template and therefore you would be in a sense find it limiting in terms of options. But, this is definitely a good start for anyone wanting to know the basics about how to use it.
