Word processing is primarily connected with the normal typing requirements of a business

as distinct from the report produced by data processing systems. Whereas data processing is connected with processing data in the most efficient manner, word processing is connected with processing words in the most efficient manner.

The term word processing is currently used as a more fashionable or sophisticated name for automatic typing which was first used by IBM to describe the integration of dictating, automatic typing and coping processes in the typing department. Word processors may be called jet-age typewriters, but that is only part of the story as word processing equipment has electronic intelligence, which generally consists of a processing unit supported by a separate memory. It is this intelligence, which is the main distinction to the older automatic typewriter.

The technique is meant to provide increased cost effectiveness in respect of the typing requirements of a business. Technological developments are such that it is difficult for the prospective user of the word processing equipment to keep pace with the changes taking place. It is this factor, which makes the choice of suitable equipment very difficult especially when this is linked to the need to learn how to use it in the most effective manner. There are many different makes and models on the market, which have different characteristics and capabilities.

Word processing equipment should not be implanted without first conducting a feasibility study as it involves a change of method and necessitates the use of capital intensive equipment instead of typists.

A possible speed in the region of fifty to seventy words in a minute is reduced to ten to fifteen words a minutes due to these factors. Extensive retyping also increases stationery cost, additional wear on typewriter ribbons and the typewriter.

Lengthy reports or high quality text which usually require extensive editing and revision can be processed to advantage on word processing equipment as the correction of errors is simplified because it is only necessary to backspace and retype the character to erase the error as characters are stored magnetically in the same way as in a computer system.

This feature also enables words to be added to, or inserted on, any line on the magnetic media without having to repeat the remainder of the line. Word processing equipment offers no advantage in repeat the short one-off letter or memos.
