Legal Copying - How to Evaluate Your Work For Duplicating
At Quality Imaging Services, we have an extensive duplicating and legal scanning department. On a daily basis we pick up boxes and boxes of documents that need to be copied or imaged for legal professionals. In many cases we are asked to evaluate the job prior to production to get and idea of cost. While I cannot give away our pricing model, I can explain how we grade your work to give you an idea if you are at the low or high end of the pricing spectrum. Please keep in mind, the information below may be specific to the way we grade jobs at Quality Imaging Services.
Documents are placed either into the feeder or onto the glass of our production machines. The way in which they are fed or placed determines the pricing you will receive.The easier it is to get documents into the machine the lower the price. We grade a production based on four categories; Light, Medium, Heavy and Glass Work.
We consider your job Light Document Production when originals can be easily fed through a copier or scanner. These originals may have some staples or clips but for the most part are loose and in excellent condition. They are also the same size paper and will not require the operator to adjust the machine for page sizes.
Medium Document Production refers to originals that have many staples and clips but are similarly sized. The documents may also be organized in file folders, contain pre printed tabs, or need some organization before operators can begin. Occasionally small receipts, post-it notes, or other small originals may be mixed in, but not in a quantity that it will slow down the production.
In Heavy Document Production, the majority of the originals are mixed sizes, such as receipts, envelopes, half-pages, large format plans and drawings. These documents may also be poor contrast documents that require adjustments to produce an acceptable copy. Originals may need to be unbound and rebound in order to copy. In some case the spines may need to be removed (upon client approval). This type of work may also require only specific sections to be copied, requiring the operator to sort through originals.
Glass Work is the slowest and most time consuming process. This is when at least half of the originals require the operator to place the document directly on the copier glass for copying. Extremely poor originals such as a fax paper, odd-sized originals, receipts, etc., that requires extensive handling and analysis on a page-by-page basis in order to produce a high quality copy. Also, when spines cannot be removed and a book needs to be copied page by page on the glass.
