Everyone is aware of the importance and benefits to time management. Have you ever wondered why it seems little work is done by the time 5PM rolls around? Today we have so many elements competing for our time that we need to reconsider a new approach to time management. It is vital to control where your time is going each day if you want to achieve success.
We learned to list our priorities for the day and then try to complete them in order. We might have attempted to complete these lists by assigning a certain time of day to work on them. The results may have been inconsistent. You know the reasons why; procrastination, interruptions, laziness, etc. What I am proposing is a method to work that agrees with how your brain tends to function. In short, our brains prefer working more efficiently when we work faster on a particular task. This was the basis for the Industrial Revolution when people worked on assembly lines and did their specific task every day to crank out cars for the growing American automobile demand. Instead of planning your day based on the time of day, think about working based around the, physical tasks, that you do.
The concept may be new but after three days of data, it will become clear. For the next three days have a piece of paper near you and record every physical task that you perform. Use one page for each day of physical activity capture. This may seem strange at first but trust me it will help clearly define how your day can be segmented. Some examples of physical tasks for entrepreneurs are making phone calls, reviewing and responding to e-mails, reviewing social media, checking PPC campaigns. Your list may be very different and that is fine. The main thing to do is simply write down the physical task that you do as you do it.
After three days, you will have a sufficient amount of data to analyze. Establish a numbering system for each physical task e.g. #1 for e-mails, #2 for phone calls, # 3 webinars etc. Write down the corresponding number next to the physical task that matches your coding system. What you should have now are three pieces of paper with a number next to each physical task that you documented. You will now see a trend of what you did each day. You may find it quite revealing where your time actually goes!
Now, you will setup your daily schedule to do only your number 1 activities in a certain time period. Once that period is over you start with your number 2 activities. Continue this until you have finished your numbering system. You decide the actual length of time spent working on each Segment. If you can't finish a particular physical task in that time period, carry it over to the next day. In essence, you are splitting up your workday into smaller, more efficient, segments. You can classify on your daily planner or journal Segment 1, Segment 2, etc, with a list of physical activities under each segment. Remember that you decide the length of time period for each Segment. Stick with it and
