, a trucking service or a storage facility, most such storing and shipping businesses now offer a photo inventory.

Photo inventory is simply a photographic record of the materials on hand from your business or company, kept in the storage, messenger or trucking service warehouses. It lets you know exactly what products are stored there, how many, and where they are located. It tells you quantities available immediately and which ones will be delayed in retrieving (those in a facility miles away, for example).

The reason for such inventories is obvious. A business goes broke quickly unless it knows, at very short notice, what its inventory is and what product is available.

Imagine, for example, a scenario in which a photo inventory is not in place. A CEO of Universal Widget receives an order from an internationally based company that locates its main offices in New York, Los Angeles and Zimbabwe. The order is for over a thousand items in three separate shipments, sent to each of the main offices in these separate cities. There is a 72-hour timeline; the customer would like word back within the hour if the order can be placed.


The CEO immediately dispatches ten workers to his ten storage facilities located all over the city. They must arrive at the facility, find entrance to the Universal Widget areas, wade through the products until they find exactly which ones they need (remember, the order for these has not been placed for shipping yet, only confirmation). They earmark those for possible delivery, setting them aside.

Time is up. Unhappily, they were unable to complete their task and relay the information on cell phones to their boss; the order is lost.

Most courier services know that is an unacceptable scenario. The photo inventory they offer is updated constantly and is continually available, either with computer hookup to the facility or inventoried on discs, which the CEO has at his fingertips. There is no guesswork involved; the CEO can go back to running the company, and let an inventory officer take charge of what the company has.

This is now standard operating procedure for most businesses, and courier services maintain photo inventories for everyone who desires them, from the largest businesses to Aunt Jane with her storage shed in the back of their building (Aunt Jane knows exactly how many antique chairs she has back there).

Photo inventory is truly the picture of big business today.
