The management of the Minnesota Technolabs was worried about an upcoming conference

. They had an important new product to present to their sales force, and it was important that the conference come off without a hitch. Their biggest concern was making sure that everyone who attended was able to understand every aspect of the product, from how it worked to how it had to be sold. There were too many things that could go wrong, and in a very real sense the future of the company was riding on the success of the conference.

They decided to call on someone they knew who might be in a position to advise them: a salesman at a full service printing company which happened to be located a block from their new location. They called him and they invited him over to see their new location.

He listened to all of their concerns and came up with an approach which combined social media and presentation folders.

They could link it their own website, but they needed to have an active internet presence for any big event. This gets people anticipating the event, because they would to want to build as much buzz as possible. They needed to be sending emails to everybody on the attendee list, and get them coming to the Facebook site, reading your posts and making their own comments. This is a good time to let everyone know about the serious part of the conference, and that means several hours every day of sitting together and listening to talks and following along in their presentation folders.

And don't forget the value of Twitter, he added. They can use that before and during the conference, to keep people tuned in as to what's going on in your company at all times.

As for the folders themselves, we recommend that every document and every page of every document be carefully planned. We strongly endorse the use of graphs and charts and as many big picture ideas as you can come up with. At these events, people are looking for the next big idea. They are not there to participate in a study hall. For a conference where so much emphasis is placed on image, you are going to want your presentation folders and all the content in them to stand out and be highly informative and readable. All of your documents should include your internet links: website, Facebook and Twitter if you have it.
