Telephone system maintenance is something that most office managers would kill to be able to do without, because it can be a real hassle, particularly when problems arise with the telephone lines. The problem, however, is that telephone systems naturally require maintenance. This is not a matter of the telephone systems being of inferior quality, but a matter of the limitations of current technology and the materials that are used in those systems.

The wires that are used in telephone systems are standard wires that are typically made of copper. Copper, being a metal, reacts with any form of moisture and rusts, which hampers the transfer of signals through the metal. Even with the best protective coverings, copper wiring will eventually rust due to the moisture that is present in the very air, this giving rise to the need for maintenance. And this is just one example of how even the best telephone systems require regular maintenance and care in order to keep them functioning properly in the long run.

Moreover, it is not only the hardware that requires regular maintenance, but the software as well. Modern telephone systems are extremely sophisticated, providing functions such as multiple office extensions, caller ID, automated responses, and many other features that people as little as two decades ago would never even have dreamed would be possible. In order for those features to work properly, however, they must be controlled by software. While software is not subject to physical wear and tear, it is subject to minute computing errors that build up over time. While these errors are usually not significant enough to impair the operation of the telephones at all, when enough minute errors build up it starts to have an adverse effect on the system.

Regular maintenance is therefore required to clean up the software errors that accumulate over time and to ensure that the telephone systems continue to operate smoothly and without a hitch.

The adverse effects of not performing regular maintenance on office telephones can be large, with the scenario in the worst case being complete telephone failure. This can be disastrous for a business, because it loses an important line of communication between themselves and their customers and suppliers. Many individuals still prefer the phone as a method of communicating with businesses, and without functioning telephones, your business will most certainly lose much-needed revenue. This loss can easily be avoided through the provision of regular telephone system maintenance a minimal cost when one considers the big picture.
