Choose the best venue. These for simple words are probably the basis of the most complex part of your planning. The best venue will be one that has the best possible space for your event, has the most convenient parking and location and presents the right image consistent with the company or event you represent.

Make sure of the numbers. This point covers two sets of numbers, your budgetary allowance and the number of attendees you expect for your event. Naturally, the budget will need to be adequate to allow for any contingencies which may arise and the figure you arrive at will only be finalised as you get closer to the event itself. On the other side of the coin, the number of attendees needs to be settled well in advance so that you can make the appropriate booking.

Define your content. Along with a choice of best venue, the actual content of your event itself is, naturally, the underpinning reason for the event itself. The speakers that you choose and the content of their individual contributions need to be vetted and approved so that your theme is consistent and the quality is maintained throughout the event.


Overseas and other visitors. Make sure you have adequate plans in place to transport visitors arriving by plane to and from your venue, especially if they are contributors!

Promote your event. Ensuring that you have adequate publicity means you have to implement a marketing plan which could involve press releases and other forms of advertising.
