Being a user-friendly email client, MS Outlook is used in almost every second small
, medium, and large organization for email communication. It provides users an easiest way to create, send, and manage emails, drafts, attachments, notes, calendar items, and other email related items. Emails, drafts, notes, contacts, journals, calendar items, etc. created using an Outlook user profile are saved in a file having .pst extension.
The PST file in which Outlook saves users data locally has a size limit. This size limit varies according to the different versions of MS Outlook. For example, Outlook versions earlier than 2003 have a size limit of 2 GB while Outlook 2003 and 2007 have 20 GB of the default size limit. On the other hand, the PST file created using MS Outlook 2010 can grow up to 50 GB because the default size limit for the PST created in Outlook 2010 is 50 GB.
When the maximum size of the PST was 2 GB, cases of the PST damage were at peak because as soon as the PST crossed 2 GB it got damaged. Therefore, to reduce the cases of PST damage due to PST size limit, Microsoft has increased the size limit largely. With the increase in size limit, cases of PST damage due to size limit have reduced a lot. However, the problem of Outlook performance has still not been resolved. There can be various factors behind the slow performance of MS Outlook. Mentioned below are some of those factors:
Incompatibility of hardware: Reduced capacity of Random Access Memory often lead into the slow performance of MS Outlook along with slowing down the other applications.
Background Activation of Various Applications: Outlook may perform slowly when CPU usage is more due to background activation of various applications. If you have installed so many applications on your computer that runs in background then it often slows down Outlook.
Large size of PST File: Large size of the PST file is the most common reason behind the slow performance of MS Outlook. When the PST file reaches around 1.5 GB, Outlook starts behaving in a sluggish manner. And as the size of PST file keeps on increasing, the sluggishness of Outlook also increases.
How to improve the performance of MS Outlook
Based on the reasons behind the slow performance of MS Outlook, you can try following methods to make your Outlook run faster:
Increase Random Access Memory
Stop the services of the applications running in background if you are not using those applications
Split PST File into various small PST files that Outlook can manage easily and independently
